GUIDELINES FOR ESTABLISHING A
MEDICAL SUPPLIES AND EQUIPMENT
RECOVERY PROGRAM

WHAT YOU WILL NEED TO START PROGRAM

I. Determine Program Coordinator

A. Writes all documentation.
B. Liaison to Donation Depot and Area Coordinators
C. Monitors program to identify problems
D. Makes presentations to organization for approval and ongoing training.

II. Determine Area Coordinators

A. Area coordinators monitor the collection of supplies in individual departments.
B. The area coordinator checks the contents of each box before it is removed from the area to insure the contents appropriateness. If, for instance, the box contained supplies that should be restocked, the coordinator would address the problem.
C. The area coordinator is responsible for labeling the box and placing it in the appropriate location for pick-up.

III. Determine In-house Transportation and Storage

A. Who will provide pick-up? Linen, Material Services, Housekeeping? The answer depends on schedules, and storage room location. The pick-up schedule should fit neatly into existing schedules.

IV. Develop Written Guidelines

A. Each organization has flexibility in what and how they want to collect the materials for 3rd world donation. The purpose of the written guidelines are to provide training and clear procedures for how the program works.
B. If you don't already have guidelines about the proper disposition of supplies (i.e. - what should be re-stocked on the floors or returned to Material Services, what should be sent to the 3rd world, and what should be properly disposed), include those guidelines in your documentation.

Please feel free to use the DHMC guidelines as an example but the policy is copywritten. Please develop your individualized written program.

  1. Donation Depot is a non-profit organization supported by New Hampshire College in Manchester. Its purpose is to match companies, including hospitals, that have surplus equipment and supplies with non-profits such as schools, social service organizations, human service agencies, etc. Contact Donation Depot to arrange pick-ups but also to discuss other opportunities for the collection of materials that your organization might otherwise dispose of.
